1. Data Controller

Synthetix Education Group LLC ("Synthetix", "we", "us", or "our"), a California limited liability company with its primary place of business at 548 Market St, Suite 45021, San Francisco, CA 94104, USA, is the data controller responsible for your personal data. Our registration number with the California Secretary of State is 6582910. For any privacy-related inquiries, you can reach us at [email protected] or via telephone at +1 415 555 0198.

2. Information We Collect

As an educational institution focused on AI-driven design, we collect information necessary to provide our services and optimize our digital curriculum. This includes:

  • Identity Data: Full name, professional title, and organizational affiliation provided during enrollment or inquiry.
  • Contact Data: Email address, phone number, and physical mailing address for students and prospects.
  • Financial Data: Payment card details and billing information (processed through secure third-party gateways; we do not store full card numbers).
  • Technical Data: IP address, browser type, device information, and site interaction logs collected via essential and analytical cookies.
  • Instructional Data: Student project submissions, prompt logs used within our proprietary plugins, and feedback provided during 1-on-1 mentoring sessions.
  • Communication Data: Records of your correspondence with our admissions and support teams.

3. How We Use Your Data

We process your personal data under the following legal bases as defined by the General Data Protection Regulation (GDPR) and relevant United States privacy laws:

  • Contractual Necessity: To fulfill our obligation to provide the educational services you have purchased, including curriculum delivery and certification issuance.
  • Consent: For marketing communications and the use of non-essential cookies where you have explicitly opted in.
  • Legitimate Interest: To improve our proprietary AI design tools, ensure the security of our digital campus, and conduct internal business analytics.
  • Legal Obligation: To comply with educational regulatory reporting requirements in the State of California and other jurisdictions.

4. AI Training Data and Intellectual Property

A unique aspect of our service involves the use of generative AI tools. We maintain strict policies regarding student-produced data:

We do not use student project submissions or personal prompt libraries to train our own proprietary base models without explicit, separate written consent. However, metadata regarding tool usage (e.g., frequency of tool use, feature engagement) is aggregated and anonymized to help us refine our technical infrastructure and curriculum. Please note that when you use third-party AI services integrated into our platform (e.g., Midjourney, OpenAI), your data usage is also subject to their respective privacy policies.

5. Data Retention

We retain your personal data only for as long as necessary to fulfill the purposes for which it was collected, including for the purposes of satisfying any legal, accounting, or reporting requirements. Enrollment records and certification data are kept for a minimum of 10 years to allow for graduate verification. Technical logs and anonymized usage data are generally retained for no longer than 24 months.

6. Third-Party Sharing

We do not sell your personal data. We share information only with trusted service providers who assist in our operations, including:

  • Cloud infrastructure providers (e.g., AWS, Google Cloud) for hosting our learning management system.
  • AI model providers (e.g., Anthropic, OpenAI) for delivering generative capabilities.
  • Payment processors (e.g., Stripe) for secure tuition transactions.
  • Regulatory bodies (e.g., BPPE) for mandatory academic reporting.

7. Your Rights (GDPR/CCPA)

Regardless of your location, we provide all users with the following rights regarding their personal data:

  • Access: The right to request a copy of the personal data we hold about you.
  • Rectification: The right to request correction of inaccurate data.
  • Erasure: The right to request deletion of your data (subject to legal retention requirements).
  • Portability: The right to request transfer of your data to another service provider.
  • Object: The right to object to processing based on legitimate interests.
  • Opt-out: The right to withdraw consent for marketing communications at any time.

To exercise any of these rights, please contact our data privacy officer at [email protected].

8. Cookies and Tracking

We use cookies to maintain your session, remember your preferences, and analyze our traffic. You can manage your cookie preferences through our consent banner or your browser settings. Declining essential cookies may prevent you from using certain features of the Synthetix platform.

9. Complaints

If you have concerns about our data handling practices, you have the right to lodge a complaint with your local supervisory authority. In the United States, you may contact the Federal Trade Commission (FTC). In the UK/EU, you may contact your national Data Protection Authority.
